Your organization's data: what we store, export & delete

Here is a plain-language account of the data Xerish holds about your organization, who can see it, how to get a copy, and what happens if you leave.

What it's for

So you can answer your own board's questions about data, meet your record-keeping needs, and understand the controls you have over your information.

How it works

  • What we store. Your profile details, posts/campaigns/Funds and their content, gift and grant records tied to your organization, impact metrics, follower and engagement data, team membership, and your Stripe connection status (Stripe holds your banking details, not Xerish).
  • Who can see it. Public profile content is visible to givers. Financial data is owner-gated. Team members see only the areas they're granted. Xerish staff access is limited and logged.
  • Getting a copy. Use Reports & exports to download your gift, grant, and impact records for accounting, board reporting, or year-end. The Storehouse's own books are also viewable for transparency.
  • Givers' data. You see the engagement and gift records you need to steward relationships, but givers' personal financial details (card numbers and the like) are never exposed to you — those live with Stripe and the Storehouse.

Governing limitations

  • Gift and grant records are retained. Financial and charitable records are kept for legal, tax, and audit reasons even if you stop posting — they cannot simply be erased on request.
  • Banking data lives with Stripe. Xerish does not store your account or card numbers; manage those in Stripe.
  • Deletion is partial by necessity. If you leave the platform, profile content can be removed, but the underlying contribution/grant ledger is preserved for the Storehouse's compliance obligations.

Good to know

  • Export regularly so your own records never depend solely on the platform.
